FAQ'S
MyFacilities is only accessible via the FIU wired and wireless networks on campus. Outside FIU we require the use of the FIU Cisco AnyConnect VPN. For instructions on how to install the VPN please visit the website: http://network.fiu.edu or call the help desk 305-348-2284.
An Operator is the employee designated by a department to grant electronic door access in the SMS system.
- The role is limited to electronic access functions (e.g., scheduling, adding/removing access).
- It is separate from hard-key management.
- It is not an approver in any business process.
- Appointment as an Operator grants system access to perform the above functions.
Previously, Operator setup was initiated via email to Key Control and did not include sufficient approval and validation for a role tied to physical access and security. The University has updated the process as follows:
- A one-time supervisor review is required for all current Operators.
- Please confirm which Operators should be retained and which should be removed.
- If you see an employee listed as an Operator whom you did not authorize, remove their access.
- This acknowledgment applies only to existing Operators.

Important: This link is accessible only via FIU wired or wireless networks, or through AnyConnect VPN.
Failure to complete the acknowledgment by December 18th will result in the removal of all Operators who report to you. This may disrupt your department’s access-granting process. For auditing purposes, once an Operator is removed, they cannot be restored unless they complete the new formalized process.
Supervisors in departments that manage electronic doors can submit a New Operator Request in MyFacilities (Menu ► Access Request ► Manage Operator Access):
- Submit the request form in MyFacilities.
- The nominee must complete the required training course before the request routes for approval.
- Upon passing, the request routes to the Department Business Unit (BU) Head for approval.
- After BU approval, the system generates a work order to Key Control to grant Operator access.
Yes. Supervisors can manage Operators at any time in MyFacilities (Menu ► Access Request ► Manage Operator Access).
